If you need to produce reports from Handyman Office for either internal documentation or to customers automatically there is a setup on the department level you can use to set up printing to paper, sending via email as well as saving a copy of the PDF.
Configuration → Department → Report settings → Automatic delivery
In the department settings you will find a tab named 'Report settings'.
This contains all the reports in the client that have their layout customized by end users.
Automatic delivery is not available for all reports but can be set up for checklists, declarations of conformity, the order summary, and the order confirmation.
In the example we have used the checklist report which has distinct options to trigger the printing when a completed checklist is synchronized from Handyman Mobile and to print all the checklists once the order is completed.
- Both checkboxes can be used independently of each other but one of them must be checked.
Delivery by email can be set up with one of three options for the main recipient.
The customer themselves, a fixed email address, and the official in charge for the order.
- When sending to the customer's email address there are options for sending a copy to the order's official in charge for the order and a fixed address.
On the right side of the settings window there is a guide for references that can be used to variables from other parts of the installation.
For example: if you need to provide a copy of the report to all participants on the order but never have the same people working on all orders.
For the email subject references all point to the order where the report originates.
These can be combined to make a subject line that helps identify the content of the email and what work it is related to.
Lastly there is an option to always make a PDF copy to a folder you designate so that you can retrieve a copy of any sent report quickly.
For printing to paper there are options for printing orientation, paper source, the number of copies to print, as well as a fallback option for printing to PDF.
