What are the predefined roles?
Department Person in Charge
This role provides access to the operational modules needed to manage orders and employees within a department:
- Order, Customer, Employee, Invoice, Logistics, and Resource Planner modules
- Can view and manage orders and participants across their department
- Cannot access Configuration or system administration functions
Coordinator
Similar to the Department Person in Charge but typically with broader cross-department visibility. Coordinators handle day-to-day order management, dispatching, and customer communication.
Super User
Super users have access to Configuration settings and can:
- Create and modify users, order categories, checklists, and templates
- Configure company and department settings
- Set up Events, service levels, and contract types
- Manage licenses and system configuration
Administrator (unlimited access)
The administrator account has unrestricted access to all Handyman functions. This role is used for initial system setup and advanced configuration. It should be used only when necessary and not assigned to daily operational users.
How are permissions controlled in practice?
Each user in Handyman is assigned a user profile that defines their specific permissions. User profiles are configured under Configuration → User Profiles and can be based on the predefined roles or customised for your organisation's specific needs.
Permissions control:
- Which modules you can access (Order, Customer, Invoice, etc.)
- Which actions they can perform (view only, create, edit, delete)
- Which departments' data they can see
- Whether they can access Configuration settings
See User Profiles for instructions on creating and assigning profiles.
How do permissions differ for Handyman Mobile users?
Field workers using Handyman Mobile have a simplified permission model. Their access is controlled by their user profile and the licenses assigned to them — for example, whether they have the Hours & Costs license or the Store management license. Mobile users typically cannot access Configuration settings or manage other users.
