Finding orders that must be planned
The resource planner explained - for an order with two participants
Introduction
The resource planner in Handyman is an intuitive and user-friendly resource management tool that provides a visual overview of outstanding orders to be executed, and which resources are to be used for execution. Use of statuses and color signaling gives a quick overview of the daily operations.
The resource planner creates a link between orders, resources and calendar.
Officials in charge can easily handle technicians with daily, weekly and monthly schedules. With the order in focus, the Officials in charge/planner transfers the order to the desired technician and the technician is set as a participant in the assignment.
An order can have several participants. The first technician to be assigned the task is set as the main participant. Each individual participant can also have many tasks on the same order so that you can plan the execution of larger orders in detail. This is very useful when there are breaks in the implementation while waiting for other actors to finish their parts of the order.
It is also easy to change the plan when there is a need for this. Delays, illness and other events can affect the plans, and the resource planner helps to change the plans in a simple way.
How to get started
In order to get started with the Handyman resource planner, there are a number of settings and choices that it is good to decide on, so that the use of the planner fits with the desired routines in the company. As you become familiar with the system, it is easy to change this.
Settings and configuration
Handyman resource planner has many settings that allow it to be used in many different ways depending on what fits in with the company's processes for fulfilling orders. Each individual user chooses his settings and ways of using the planner.
Access to the planner
In order for an employee to have access to the planner, a user profile must exist that has this access, and the user must be connected to the profile.
See Setting up user profiles in Handyman .
Settings for all users
Settings for all users are selected in the user profiles and order categories so that the company can adapt Handyman to its routines.
User profile
In the user profile there is a section for settings that will apply to all users the first time they open the scheduler. One of the settings can only be found in the profile:
- Forced use of presentation mode. Here you can decide that a group of users can only see the plan without changing it.
Other settings can be changed by each individual user after first use. Here there are settings for how tasks in the planner should be displayed and rules for what is the standard duration for new tasks.
Order Category
On the order category, you can decide which color orders get in the plan, and what is the standard task length when planning such orders.
Personal settings
When you have started the planner for the first time, the settings from the profile will apply. Now the user can choose to change this to adapt the use to their needs.
Choose which information is displayed
Each individual user can choose which information should be displayed on a task and what is shown in the text displayed when the mouse cursor is held over a task.
Planning
Planning of orders is done by connecting participants to orders. These can be users with Handyman Mobile and other employees in the office.
Pre-planning
The top row in the planner is orders that have not yet been assigned to any participants. Here you can pre-plan the order without knowing who will carry out the work. The orders have different colors depending on what is selected in the order category. This gives a quick overview of the types of orders that need to be planned.
Find orders that need to be planned
The list below the calendar shows selected orders from the order list or those you choose to search for here to plan. There are many options for quick filtering on the right-hand side, and you can also save your own searches to quickly have a list of orders that are candidates for planning.
You add participants to an order by dragging the order into the calendar of the employees who will carry out the order, or using the button in the toolbar for the order list.
You can also add participants by dragging a task while holding down the CTRL button to another person. Then you make a copy of the task.
Re-planning
If you have to change the plan, you can click and drag the tasks in the calendar. It can be relevant when you have to move the task to another person or move it to another day.
The buttons above the order list can also be used to move orders or add or remove participants from the order. If several orders are marked in the order list, the same employees can be assigned to several orders in one operation.
The resource planner explained - for an order with two participants
As a practical example of carrying out an assignment, we look at an order where two participants must register time. The main participant registers the material and checklist.
The implementation takes 7 days and can be visualized as follows:
Task status:
The color code shows whether the participant has started the task, that the task is active and when the task is finished.
In Handyman it might look like this:
Orders created in Handyman to be scheduled. Under dates, the planned start and end of the order is indicated
In the planner, the order is assigned to two resources. The top line in the planning picture shows the order's planned duration.
When the resources begin work, the status will be able to change visually in the resource planner.
When both resources have completed their tasks, the task status will change again.
In Handyman Mobile you will find a separate tab for tasks - the same tasks that are planned in the resource planner.
Registering time on the order can be done directly from the calendar.
Here, the mobile user can get an overview of their tasks and change their status and move the tasks in the planner if there is a need to change the plan.
