The Hour Approval Module (often referred to as HAM) provides a clear way to control hours and other costs that are to be transferred to the company's payroll system. In this way, you can ensure that the salary basis is correct before it is transferred. In most cases, you will not need a two-way integration with the payroll system. This module is not part of the standard Handyman, and the license must be purchased through our sales department before the options are available in the Handyman Office.
The module provides an overview of hours and costs that are entered within the choices made by the time period, department and employees.
To open the HAM-module:

Navigate to Employee > Approve entries

When starting with the Hourl Approval module, there are some settings and rules that must be set prior to use. These can be found by going to Configuration> Company> Hours approval module
Here you can configure:

If you want manual export of the salary type registration (not automatic service)
-
Whether changes in hourly approval are to be exported to the financial system (if this is not on, there may be a difference in the number of hours and costs that are entered in the order and that are entered in the salary)

If you are not allowed to approve your own hours
Which types of cost elements to be approved must also be set up:

Navigate to Configuration> Cost element (1-2)

Double-click on the desired cost element (or click edit in the menu on the left) (3)

On the cost element type tab > General subtab > Invoicing/salary and tick the checkbox next to "Basis for salary" (4)

The HAM-module overview image has several tabs:

All - shows all registrations for the selection
-
Approved - shows approved registrations within the selection
-
Rejected - shows registrations that have been rejected within the selection
-
Open - registrations that have not been processed within the sample
-
Checked - registrations that the case officer has marked as checked within the sample - this is not the same as approval in the hourly approval module.
Correct records
Should any error be registered, this can be corrected.

If the order number is incorrect you can change this

Registrations can be split in two. For example, if a share of the registration should have been overtime or another type of pay

Number and type of salary can also be changed
The system automatically creates a counter-entry to the original registration, so that you can later see what was originally registered. This provides full traceability on changes made.
To edit:

Select the line to be edited in the selection

Select edit in the menu on the left
-
Make change in edit window

Approve records
In order for registrations to be transferred to the payroll system, they must be approved.
Approval can be performed by selecting one or more employees and approving the whole week, or you can look at the details for each day and approve individual registrations. You can also view details for each day and approve individual registrations.
To approve, select what is to be approved and press approve in the menu to the left.

Approved registration will have an approved icon and the menu on the left will for this the registration show the possibility to undo the approval

Reject registrations
If a registration cannot be approved, it can be rejected. One more reason the rejection must be specified. This reason will appear in the time list of the mobile user.

After rejection, the registration with the rejected icon is displayed in the selection for all registrations in addition to in the tab rejected

New registrations
If registrations are missing, the case officer can enter registrations correctly in the hourly approval module as long as you have a registered line for the person and the order in the selection - this must first be marked before:

Select "new" in the menu on the left

Enter info for new registration

Reports:
In the menu on the left you can easily get reports for the selected period when you marks employees

Manual export:
If you choose manual export in the setup, you will get the options for

Export to payroll
-
Export again to payroll
in the menu on the left.
When you run an export, an eHour file will be created in the file exchange folder.
Automatic export:
If you want the export to go, for example, every night, you can set it up the export in Handyman ControlCenter on the application server. Hours and export costs are part of the job agent service. Therefore, you must first start the Job Agent and then double-click on Hours and Cost Export to see the options for selecting the start date, time, and frequency at which you want the service to run.



When the service is running, you will see a green "play" icon to the left of the service.
