1. Predefined roles
1.1 Department Person in Charge
- In Handyman Office, access to the following dashboards:
- Order
- Customer
- Employee
- Invoice
- Logistics
- Service
- Analytics
- Limited access to orders/employees within their department.
- Restriction to specific persons in charge possible.
- Essential personal data that can be accessed:
- Employee master data (read-only)
- Order-related data
- Employee time tracking
- Customer master data
- Timestamp of the employee's last synchronization
- Additional rights can be granted/revoked through user profiles.
1.2 Official in Charge
- Similar to department person in charge, but has access to orders and employees from all departments.
1.3 System Administrator
- Access to the System and Configuration dashboards in Handyman Office.
- Essential personal data that can be accessed:
- Employee master data
- Timestamp of the employee's last synchronization
- Essential privacy-related functions that can be accessed:
- Changing employee passwords
- Creating and deleting employees
- Managing employee rights
- Modifying configurations
- Can be granted in addition to the (Department) Person in Charge role.
1.4 Service Technician
- Only the Service Technician has access to Handyman Mobile.
- The same person can be a Service Technician and also possess a role in Handyman Office.
- Time tracking
- Depending on permissions, for themselves and/or colleagues.
- Access to the customer base
- Restriction based on department-defined customer categories possible.
- Access to all data of an order.
- If multiple employees work on an order, all employees have read access to all entries, regardless of which employee entered them.
- This includes times entered by colleagues on the order.
- Alternatively (standard for internal orders), access is restricted so that the technician can only access their own entries.
- Access the time registration (hours registered in orders). This includes all times related to orders, including:
- Recorded by the technician themselves.
- Booked for the employee (regardless of where they were recorded).
2. User profiles
- User profiles can be defined for Handyman Office.
- Within a user profile, permissions for accessing entire dashboards or specific functions and menu plug-ins can be granted.
- A user can have one user profile.
- The user profile overrides the system's predefined roles.
- This allows for very granular permissions to be granted, such as:
- Access only to the management of checklists and dictionaries.
- Access only to the Order dashboard and resource planning without the right to create or delete orders.
- Access only to the Logistics dashboard, without the Order tab.
3. Access the resource planner
- Requires the Clerk or Department Person in Charge permission.
- All Clerks and Department Persons in Charge can access Resource Planning from Handyman Office.
- Furthermore, Resource Planning can be launched as a standalone program, allowing access to Resource Planning without accessing Handyman Office.
- User profiles can be configured to allow only read-only access.
